General Terms and Conditions

DERMATOLOGY AND SKIN SURGERY

1.Deposits
To secure an appointment with Aventus Clinic, a deposit is required.
For a consultation a deposit of £95 -£100 will be charged at the time of booking, to secure the appointment.

If a treatment is booked for the same time as the appointment an additional deposit of upto 50% of the treatment value may be taken. 

For a consultation or single treatment appointment with a therapist, a fully refundable deposit of £25* will be charged at the time of booking in order to secure the appointment. Your deposit will be refunded or redeemed against treatment after your consultation.

Deposits which remain unclaimed for twelve months will be forfeit.

2.Cancellation / Refund Policy
Our cancellation policy is in place to ensure that we are able to maximise our appointment availability. This ensures that we are able to offer a cancelled appointment time to a client who needs it.

Treatments/services are not transferable to other individuals or clinics. Should you need to cancel or reschedule we kindly ask that you call us at least 48 hours before your appointment.

If you cancel with less than 48 hours of your appointment or do not attend a booked appointment, we reserve the right to retain your deposit.

If you arrive more than 20 minutes late for your appointment Aventus Clinic has the right to refuse to see you.

Charges

Fees for your initial and follow up consultations and for skin procedures have been agreed with your private medical insurance provider. Fees for blood tests, the analysis of any skin swabs, cryotherapy, procedures and pharmacy prescriptions will be charged in addition to the above by the clinic.

Payment Arrangements:

Dr Crichlow will invoice your medical insurance provider directly for payment. You acknowledge and agree that the fact that you have benefit of private insurance cover does not in any way absolve or diminish your responsibility to meet the fees payable in full. It is your responsibility to ensure that you have the authorisation from your private medical insurance provider before obtaining the relevant health services. In the event that your private medical insurance provider does not pay your fees, you undertake to pay those fees in full. Payment options and details will be sent by invoice.

Booking Deposit

At Aventus Clinic a deposit of £100 is required in order to secure the booking. This can be reimbursed immediately following the appointment if you are discharged, or can be held as a deposit for future consultations or procedures. In the event of non-attendance or cancellation within 48 hours of the appointment, this £100 is non-refundable.

Late Payment

If fees are not paid within 28 days of the invoice date, you agree to pay interest at a rate of 5% above bank minimum base rate until the invoice has been paid in full. Failure to settle your account will result in your details being forwarded to a debt collection company which may result in extra fees being charged.

SELF FUNDED PATIENTS

Charges

The charge for your initial and follow up consultations are available on demand. Please note that if you are officially discharged, are being seen again after a period of > 1 year, or you have a new presentation with a different condition, you will need to pay the new consultation fee again. This applies to any one of the above. The fee(s) for any procedure(s) required is (are) separate from the consultation fee and will be outlined at your consultation. Fees for blood tests, the analysis of any skin swabs and pharmacy prescriptions will be charged in addition to the above by the hospital/clinic.

Booking Deposit

  • At Aventus Clinic a deposit of £100 is required in order to secure the booking.

Payment Arrangements:

  • At Aventus Clinic, payment will be taken at Reception.
  • Failure to attend/ cancel within notice period: see above

 

HAIR TRANSPLANT SURGERY

1.Rescheduling
If you need to reschedule your surgery date, an administrative fee will apply as follow:

  • Less than 7 Days’ Notice: £500 rescheduling fee.

This policy does not affect the 14-day period of reflection.

2.Cancellation / Refund Policy
We recommend that you consider all aspects of your procedure for at least 14 days after your initial consultation.

For up to 14 days following your Initial Consultation, should you wish to cancel your procedure, the deposit and any monies paid for your procedure are fully refundable (minus bank charges), with the provision that Aventus Clinic has been notified in writing .

The Clinic reserves the right to retain any irrecoverable costs incurred.

Our cancellation policy after the 14-Day period is as follows:

  • Cancellations made over 2 weeks Prior to the surgery date – 25% of total cost.
  • Cancellation made 8-14 days prior to date of surgery – 50% of total cost.
  • Cancellations made 7 days or less prior to and including date of surgery – 100% of the total cost.

3.Medical Reasons 

Aventus Clinic reserves the right to cancel a procedure on medical grounds

  • Cancellation may be necessary due to previously unknown medical conditions will be rescheduled where possible. If after reasonable consideration the indicated medical condition prevents rescheduling of the procedure, then the refund of the monies paid will be given in full to the Patient.
  • Cancellation due to pre-existing medical conditions which were known by the Patient but undisclosed prior to booking the procedure will be refunded in accordance to standard cancellation policy.
  • If the procedure is abandoned intra-operative due to unforeseen medical conditions, we will retain sufficient monies to cover the costs incurred by the clinic as reasonably deemed fit.

Aventus Clinic reserves the right to amend the terms and conditions at any time and without prior notice. Attempts will be made to liaise with patient.
Aventus Clinic reserves the right to amend our pricing structure at any time and without prior notice.

 

LASER & AESTHETIC SKIN TREATMENTS

Set out below are the business terms in which Aventus Clinic provides a service to its clients specifically for laser and aesthetic skin treatments.  Please ensure that you have read and fully understood our terms and conditions prior to booking a treatment at Aventus Clinic.

1. Appointments

All doctors, nurses and therapists at Aventus Clinic are trained and approved in accordance with the company’s treatment protocols and therefore Aventus Clinic does not guarantee continued treatment with a named doctor, nurse, or therapist.

Prior to your appointment, we will inform you of any preparation required for your treatment. If you do not follow the guidance this may result in cancellation of your appointment, reduced treatment time, or additional fees being charged. For certain treatments, we ask that you are prepared for your treatment:

  • a) Face treatments: All make-up removed prior to treatment.
  • b) Laser hair removal: area shaved 24 hours prior to treatment and free of hair. Hair must not be waxed or plucked prior to laser hair removal.

Aventus Clinic will endeavour to ensure that your appointment runs on time. However, should we need to cancel your appointment at short notice, we will make every effort to contact you in advance. All treatments cancelled by Aventus Clinic will be rebooked as soon as convenient for our client.

If you are unable to attend your appointment, please contact us at least 48 hours prior to your appointment. Any cancellation within 48 hours of your appointment will result in the loss of the treatment from your value pack or your deposit being redeemed.

If you do not attend your appointment, this will result in the loss of your deposit or your treatment being redeemed.

Late arrival to your appointment may result in a reduction in your treatment or forfeit of the appointment

2. Deposits

For a consultation or treatment appointment with a doctor, a deposit of £50 will be charged at the time of booking, to secure the appointment. This is non-refundable but can be redeemed against treatment after your consultation.

For a consultation or single treatment appointment with a nurse or therapist, a fully refundable deposit of £25* will be charged at the time of booking in order to secure the appointment. Your deposit will be refunded or redeemed against treatment after your consultation.

Deposits which remain unclaimed for twelve months will be forfeit

No deposit is required when booking a treatment from a pre-paid course.

For the terms of deposit refunds, please refer to the cancellation policy set out in point 3

3. Cancellation / Refund Policy

If you cancel with less than 48 hours of your appointment or do not attend a booked appointment, we reserve the right to retain your deposit or charge a cancellation fee of £25- £100 depending on the appointment time length.

If you arrive at your Laser Hair Removal appointment without the proper preparation as per the instructions your treatment maybe cancelled and we reserve the right to charge you for your appointment or 1 treatment forfeited.

Single or courses of treatment are only refundable for medical reasons. Any refund agreed between the client and Aventus Clinic is calculated by deducting the full list price of all treatments already taken, plus any other charges. The difference will be the refunded amount.

Single treatments

We take a fully refundable deposit of £50 when booking a single treatment. The deposit can be redeemed against treatment fees. Should you need to cancel or reschedule your appointment, we kindly ask that you call us no less than 48 hours-notice prior to your appointment. Please be aware of our business opening hours when calling to reschedule or cancel, to ensure you give us the correct notice period. Any cancellation within 48 hours will result in your deposit being forfeited.

Pre-paid value pack or course of treatment

No deposit is required when booking a treatment from a pre-paid course of treatment. Should you need to cancel or reschedule your appointment, we kindly ask that you call us no less than 48 hoursnotice prior to your appointment. Please be aware of our business opening hours when calling to reschedule or cancel, to ensure you give us the correct notice period. Any cancellation within 48 hours will result in your treatment being redeemed.

4. Pricing and payments

Pricing: Consultation and treatment prices may vary from time to time, especially during promotional periods. Please refer to pricing on the website or in clinic.

Treatment quotations: where a client has been given a quote that is not subject to promotional discounts, this price will be honoured for up to 2 weeks.

0% finance: we also offer 0% finance to help you spread the cost of treatment. Please speak to our team for further details.

5. Courses of treatment

Payments: All treatments purchased as a course or package must be paid for in full, prior to the first treatment.

Package or course expiry: All treatments from a course must be taken within 12 months of the date of purchase; any treatments left unused after 12 months will be automatically redeemed and a new package will need to be purchased.

Package refunds: Courses of treatment are only refundable for medical reasons. Any refund agreed between the client and Aventus Clinic is calculated by deducting the full list price of all treatments already taken, plus any charges for non-attendance. The difference will be the refunded amount.

6. Laser Hair Removal Packages

When laser hair removal areas are sold as a package, for example the Female Half Legs, Brazilian & Underarms Package, areas purchased in the package cannot be split over separate appointments.

Full Body Laser Hair Removal Package

Clients may purchase the full body laser hair removal package at the prices set out in the marketing materials from time to time.

The full body laser hair removal package includes all of the laser hair removal areas offered by Aventus Clinic, as set out in the marketing materials from time to time. This package does not include laser hair removal areas that are not currently offered by Aventus Clinic.

Clients may elect to remove any area from their full body laser hair removal package

Clients must advise the staff at the time of booking and upon arrival at each appointment of the area that has been removed from the package. No reduction in price is available where areas have been removed from the package.

Bookings must be made for all laser hair removal treatments.

Bookings for this package may not be available at all times on all days.

Payment must be made in advance.

The package cannot be used between two or more clients. Photo ID may be requested.

The terms of our refund policy

7. Price Match Policy

We may offer to match a competitor’s price for the same treatment provided it is using the same equipment and/or products and carried out by appropriately qualified staff.

The Price Match Policy only applies to competitors that operate in a 1 mile radius from Aventus Clinic the client is seeking to price match.

The Price Match Policy applies to all laser hair removal treatments.

Clients must provide proof of the competitor’s advertised price which must be current when seeking to price match and we may take further steps to confirm the validity of the price to be matched. Clients may only purchase the same number of treatments as advertised by the competitor using the Price Match Policy, and if no maximum number of treatments is listed the number of treatments able to be purchased is limited to 3 per client.

Clients must mention the Price Match Policy at the time of purchase and or at the time of paying for their treatment or product. The Price Match Policy will not be applied where the products and/or treatments have already been paid for or received.

The Price Match Policy does not apply to offers made by competitors from group buying, discount, or coupon websites.

8. 50% Off Offer

50% off laser hair removal when you prepay for a course of 4 or 8 sessions. The promotion can be redeemed as follows:

Purchase a course of 4 or 8 treatments of the same area or treatment and receive 50% off

The 50% off discount is not valid for any Laser Hair Removal “add on” menu or Underarms area.

The 50% off discount is not valid on any skin packages

Bookings must be made for each treatment purchased.

Not to be used in conjunction with any other promotion, and discounts.

The 50% discount is calculated using the standard single treatment price, and not pre-paid prices or areas already reduced as part of this campaign or another promotion.

Clients may purchase as many treatments under this promotion as they like at the discounted prices, however, payment must be made upfront in full and the terms of our refund policy apply.

Promotion not available on Cosmetic Injectable Treatments.

Offer maybe withdrawn or extended at any time.

9. Refer A Friend

Referrer Offer – One for me:

Receive £25 off your next Laser Hair Removal or Skin treatment when you refer a friend and present a referral voucher in clinic.

Offer only valid with minimum spend of £100.00.

Card must be surrendered and used by the person it was originally awarded at their specified Aventus Clinic.

Voucher must be shown in clinic to redeem the offer.

Offer is not valid on any skincare products or Cosmetic Injections.

The £25 voucher must be used in one transaction and no change will be given.

This offer may be withdrawn at any time and cannot be used in conjunction with any other offer or existing voucher.

Referee Offer – One for you:

Receive £25 off your next Laser Hair Removal or Skin treatment when referred by a friend and present a referral voucher in clinic.

Offer only valid with minimum spend of £100.00.

Card must be surrendered and used by the person it was originally awarded at their specified Aventus Clinic.

Bookings must be made and the promotion must be mentioned prior to the treatment.

Promotion can only be redeemed by the person who has been referred to Aventus Clinic for their first treatment.

Voucher must be shown in clinic to redeem the offer.

Offer is not valid on any skincare products

The £25 voucher must be used in one transaction and no change will be given.

This offer may be withdrawn at any time and cannot be used in conjunction with any other offer or existing voucher

10. Social Competition Terms & Conditions

No purchase is necessary to enter this social competition.

This competition is not affiliated with the social platform of which it has been published.

We reserve the right to amend or alter these Terms from time to time.

These rules will be deemed incorporated into each competition except to the extent that any specific instruction in a competition provides otherwise.

Competition details within the social caption such as entry dates, required actions and deadlines form part of these terms and conditions.

By entering the competition, entrants will be deemed to have read and understood these Terms and be bound by them. All of our decisions will be final and binding and no correspondence will be entered into.

Any person who is an employee or an immediate family member of an employee of any company or any other person who is directly connected with the organisation of any particular competition is ineligible to participate. Entry is open to residents of the UK except for employees (and their families) of Aventus Clinic .

All entrants are to be aged 18 or over.

The Promoter’s decision is final and binding in all respects on all entrants. No correspondence will be entered into. Entries that do not comply in full with these entry terms and conditions will be disqualified.

Use of a false name or details will result in disqualification.

All entries must be made directly by the person entering the competition, no group, mass, or software entries will be accepted.

All entries must be received by the closing date specified in the competition and entries received after this date will not be put forward for the draw.

Answers will be entered upon submission. No responsibility will be taken for any answers that are misdirected, lost for technical or other reasons or received after the closing date.

We reserve the absolute right to disqualify without notice any entries to any competition which we consider have used improper technical means to enter and/or we believe is fraudulent.

Entrants are liable for their costs to access computer networks.

We shall be the promoter of all competitions subject to these terms and conditions unless stated otherwise.

I. Prizes

If for any reason an advertised prize is unavailable we reserve the right at our absolute discretion to substitute a similar prize of equivalent or greater value. Only one prize will be awarded per household.

There will be no cash or other alternative to the prize offered and prizes are not transferable.

II. Notification

The winner’s name will be selected in a random draw, after the closing date, from all correct or appropriate answers and actions received.

The winner of a prize will be notified within 28 days after the winner has been ascertained.

Please allow 28 days for delivery of all product-focused prizes.

If the winner of the competition is unable to take up a prize for any reason or if the winner cannot be notified after reasonable efforts having been made in the 14 days post-competition, then we may dispose of or cancel the prize as we see fit without any liability to the winner for having done so.

III. Claiming Prizes

Prizes Involving Travel: Travel arrangements are the responsibility of prize winners unless otherwise stated.

Competition prizes/tickets may be restricted to certain times of the week and year, and unless otherwise stated all prizes must be taken within six months of the date of the competition draw.

Where prizes are to be provided by a third party then the winner will be required to complete all appropriate or applicable booking or other formalities direct with such providers. We will have no responsibility for the acts/defaults of any other persons or companies.

The Promoter may refuse or disqualify any entry (including winning entries) if the entrant concerned or anyone authorised by the entrant to deal with their entry, acts in a way towards the Promoter that the Promoter reasonably considers being inappropriate, unlawful or offensive. If the winning entry is disqualified the Promoter reserves the right to award the prize to another entrant.

SUITABILITY FOR TREATMENT

We will always assess whether treatment is suitable for you, prior to any treatment being carried out.

It is the client’s responsibility to ensure that they provide Aventus Clinic with relevant medical history and medication details prior to each treatment.

We cannot treat any clients who are under 18, or pregnant.

LIABILITY

Aventus Clinic will not be liable in contract, tort or otherwise for any economic loss (including, without limitation, loss of profit), or for any other special, indirect or consequential loss or damage arising out of, or in connection with, its provision of any goods and/or services to the client.

Clients will be required to read and sign the relevant consent forms prior to treatment. We are unable to provide any treatment without your written consent.It is the client’s responsibility to ensure that they provide Aventus Clinic with all relevant medical history and medication details prior to each treatment. Aventus Clinic will not beliable for any damage that occurs as a result of the client’s failure to disclose such detailsThe client agrees to comply with all instructions and/or recommendations given to them by, or on behalf of, Aventus Clinic regarding the care of a treated area. Nothing in these terms of business shall exclude or limit Aventus Clinic ’s liability for death or any personal injury resulting from Aventus Clinic ’s negligence.

COMPLAINTS

Aventus Clinic endeavours to treat all its clients appropriately, compassionately and fairly. If, however, you have an issue with any matter in relation to your treatment at Aventus Clinic you are entitled to lodge a complaint, either in person, by telephone or in writing. If you require assistance with making your complaint, Aventus Clinic will be pleased to help and will support you through the process.

The member of staff who initially receives the complaint will convey the details to the Clinic Manager or their designated deputy. Where this cannot be resolved immediately, you will receive a letter within three working days to confirm that an investigation into the matter is underway and that a response will be made as soon as possible.

Complaints of a non-medical nature will be handled in their entirety by the Clinic Manager and the Director.

If your complaint is treatment-related the matter will be discussed with the relevant practitioner and may require you to attend an additional consultation with that practitioner or an alternative member of the clinic’s medical team, including the Medical Director. The objective of this is to provide an explanation or a solution to your concerns. Aventus Clinic aims to give you a full written response within 20 working days, or where this is not possible, an explanation as to the cause of the delay.
